Bookings T&C's

Introduction

These Terms & Conditions apply to all bookings and engagements involving David Flatman for speaking events, hosting, presenting, broadcasting appearances, auctioneering, partnerships and related services.

By confirming a booking, the client agrees to the terms outlined below.

Bookings & Confirmation

All bookings are subject to availability and are only confirmed once agreed in writing by both parties.

Details including event timings, location, format, travel arrangements, accommodation (where required), technical requirements and agreed fees must be confirmed in advance of the event.

Fees & Payment

Booking fees will be agreed prior to confirmation of the engagement.

Unless otherwise agreed in writing:

  • An invoice will be issued in advance of the event

  • Payment terms are 14 days from the invoice date

  • Full payment must be received prior to the event date

Late payments may be subject to additional charges where applicable.

Travel & Accommodation

Where travel or overnight accommodation is required, reasonable costs may be charged in addition to the agreed booking fee unless otherwise agreed beforehand.

Travel arrangements, accommodation standards and itineraries should be confirmed in advance to ensure smooth delivery of the engagement.

Cancellations

If a client cancels a confirmed booking, the following cancellation terms may apply:

  • More than 30 days before the event: no cancellation fee

  • Between 14–30 days before the event: 50% of agreed fee payable

  • Less than 14 days before the event: 100% of agreed fee payable

In the unlikely event David Flatman is unable to attend due to illness, travel disruption or circumstances beyond reasonable control, every effort will be made to rearrange the booking where possible.

Events Changes

Clients must notify any significant changes to event format, timing, venue or audience size as soon as possible.

Additional fees may apply where substantial changes are made after confirmation.

Conduct & Safety

David Flatman reserves the right to withdraw from any engagement where there are reasonable concerns regarding safety, inappropriate conduct or unsuitable working conditions.

Clients are responsible for ensuring the event environment is safe, lawful and professionally managed.

Recording & Media Use

Any filming, recording, photography or media content captured during an engagement involving David Flatman may be used by both the client and David Flatman for agreed promotional, marketing and content purposes.

Where professional photography, video or recorded content is created, both parties agree to reasonably share usage rights and licensing for promotional use, including websites, social media, showreels and marketing materials.

Any substantial commercial usage, paid advertising campaigns or third-party licensing should be discussed and agreed in advance by all parties involved.

Intellectual Property

Any written materials, presentations, media content or branding supplied in connection with an engagement remain the intellectual property of David Flatman unless otherwise agreed in writing

Liability

While every effort will be made to fulfil all confirmed engagements, liability shall be limited to the total agreed booking fee.

No responsibility shall be accepted for indirect losses, business interruption or circumstances outside reasonable control.
